The ICGEB invites local applications for a position of CRP & Fellowship Programmes Support on Special Service Agreement (SSA)
POSITION TITLE: CRP & Fellowship Programmes Support
DUTY STATION: Trieste, Italy
DATE REQUIRED: As soon as possible
TYPE OF CONTRACT: Special Service Agreement (SSA)
DURATION: One year
REMUNERATION: To be agreed based on experience
DUTIES: Under the direct supervision of the Head, CRP & Fellowship Programmes, the incumbent will be required to perform the following duties:
1. Assist in the organisation and implementation of the PhD course activities:
• monitor incoming correspondence in the dedicated PhD Programme mailbox and respond to general enquiries;
• collect documents required for students’ registration in different Universities;
• follow-up the reimbursement of registration fees and invoices from Universities
• assist in the organisation of the PhD introductory course;
• support in the organisation of Journal Clubs, checkpoints (e.g., mini-vivas, students’ seminars, talks at the Symposium, etc.), by liaising with students, Group Leaders and other colleagues;
• monitor attendance PhD activities and checkpoints’ evaluation forms;
• update PhD students’ data in ID&A database regarding registrations, reports, deadlines, examination panels, attendance, etc.;
• update documents, presentations and posters related to the PhD programme, including the list of PhD students on board and intranet sections;
• assist in the logistical arrangements for external examiners, including travel and accommodation, for students’ vivas;
• support in the preparation and collection of documentation for audits and statistics;
• provide support in drafting and reviewing documents related to the PhD course;
• perform other work-related duties as may be required.
2. Assist in the planning and development phases of new sections and features in ID&A database. This includes, but is not limited to: i) compiling information about internal and external examiners and chairs for thesis revision and vivas; ii) collecting PhD students’ theses and lists of publications; iii) implementing online evaluation tools (e.g., progress reports, questionnaires, etc.); general improvements of the PhD programme section, including list of graduated students and automated submission of reports.
QUALIFICATIONS: High school diploma or equivalent. University degree is an asset. A minimum of 1 year relevant experience in a similar position in an international organization is desirable.

LANGUAGES: Fluency in English is essential. Knowledge of Italian would be an asset.
